Sample Wedding Emails
- Destination Wedding - Jazz Fest Wedding in New Orleans

We felt like it would be useful to send emails to the guests periodically to get them excited about the upcoming event, the destination, the fun ahead and also to have plenty of time to address any questions or concerns that the guests might have prior to the travel to the wedding event.  We also found that these emails began conversations between the guests or at the least provided them with a common bond beyond the wedding couple - a place that they would all visit together as strangers perhaps and return as friends.

We sent group emails out every 2 to 3 weeks because our wedding was planned in a period of under 4 months. One month before the wedding we began sending out weekly emails.  Our regular emails not only spurred our creativity and excited the travelers, but they helped to answer all questions before we arrived at our destination so we could all focus on having fun and enjoying our 4 day adventure.

Email 1: Wedding Information to guests begins

Hello everyone:

Thanks to everyone that has called and emailed requesting hotel and flight information!

We figured we'd better start compiling tips and resources to help you make your travel and party plans. So we've posted a guide to Hotel, Flight and Things to Do while in New Orleans on our family website at http://www.familyXYZ.com/Wedding.

We've tried to list the typical flights and airlines and many of the available hotels in the French Quarter on the http://www.familyXYZ.com/Wedding/Travel.htm page. As of 1/6/04 these providers had availability. Things are already selling out for this period of travel to New Orleans and with our wedding happening during Jazz Fest - there are inflated room rates. The hotel information we requested and listed reflects rooms with 2 beds unless otherwise noted.

The http://www.familyXYZ.com/Wedding/ThingsToDo.htm page lists some helpful information and links that should help you prepare for the fun.

Email 2:  Pre-party for Wedding Attendee's to Meet & Get to Know Each Other

Dear New Orleans Wedding Go-ers & Jazz Festers,

Wouldn't you just *love* to know who's going to New Orleans, where everyone's staying, when they're arriving, departing, and how to get in touch?

Well, wish no longer!

We have created a password protected sub web on the Family website (www.familyXYZ.com/NewOrleans) that lists contact info for everyone going on down to New Orleans on the weekend of April 24th.  This sub web is password protected (Username=HappyWedding, password=FunToBeHad) and completely secure. If you do not wish to have your contact information on the site or just want certain info available, let us know.

Please review the information posted and send corrections as necessary.  We have listed email addresses and only in certain cases cell numbers. Send us your cell number and/or your hotel phone number if you want it added to the list.

Hey all you spooktacular  'Orleans goers, Wedding and Jazz Festers-

Help say good bye to the ghosts of *groom* and *brides* single lives, and welcome to the Dark Side of New Orleans...

Join us as we explore the New Orleans of legend, of film, of books - the New Orleans of your nightmares? We're taking a two hour (guided) walking tour to savor a New Orleans' haunted night in the French Quarter. (Then we're going drinking at *Guest Bob's* condo!)

When?
6 pm, Friday, April 23rd. Tour lasts approximately two hours.
9 pm, Happy hour at the condo

Email 4 Open Mike Reception - Vote for your MC

Hey you crazy artists and performers!

We're just too damn cheap to hire a cheesy, synthesized wedding band to perform Duran Duran covers. AND, since we knew we had loads of talented musicians, joke tellers, drummers, singers and poets, we came up with an even better idea.

OPEN MIKE AT THE RECEPTION!

Start thinking now about your best anecdote, haiku, prestidigitation, acrobatic act, performance art, song or dance.

We also need your help picking your OPEN MIKE MC. The list of nominees includes (but is not limited to):

Be warned: Open mike means that you could be ignored...OR you may be the center of rapt attention. The audience will be encouraged to boo, cat-call, cheer and clap.

Email 5 Open Mike - Talent Show Reception Reminder / Encouragement

1) A marked innate ability, as for artistic accomplishment.
2) A person or group of people having such ability: The company makes good use of its talent.

We know we've got 60 or 70 of the most talented people *we* know headed to New Orleans.

And we know that some of you are simple, humble folks, and not much inclined to show off.

Well, what happens in New Orleans stays in New Orleans, so this is your chance to show off!

Maybe you played trumpet in High School, or can do "Walk the Dog" with a Yo-yo, or can sing every word "Snoopy versus the Red Baron".

We're providing lots of food, liberal amounts of alcoholic lubrication, and some fun toys and musical instruments as part of the table centerpieces. And if you have an instrument, talking puppet, or any other prop to use or to share - well, bring it along!

Heck, if all you know are a few verses of "Barnacle Bill the Sailor" - OK, scratch that one - a few verses of Edgar Allen Poe, then this Saturday April 24th is your chance to show us what you got.

So dig around the house, root around your attic, leaf through your books, and grab something for the Big Easy Wedding Home Brewed Talent Show and Open Mike Reception.

Email 6 Itinerary Sample

Here are the details of what we'll be doing when we're in New Orleans. We're trying to leave the schedule pretty open and at the same time provide options so folks can hook up.

Friday, April 23rd
10:00 am Rehearsal at ROYAL SONESTA HOTEL (wedding party)

Email 7: Special Crew selected to assist at Destination

A Special Super Secret Message from the *bride* and *groom*

Pssst...

...If you are reading this message then you have been carefully selected to help keep the *groom* and *bride* from going completely nuts on April 24th.

Now, you all know how wacky your two friends can get when things start going a little crazy. And we know that New Orleans can be synonymous with crazy.

So we're turning to you, our special friends, to help us keep it all together.

Guest 1: Work with *bride* in the room before the wedding
Guest 2: Work with the Hotel wedding coordinator. Man-on-man defense (so to speak) with the *bride* and *grooms* relatives
Guest 3: Coordinate for reception last minute questions
Guest 4: Keep *groom*  from running around in circles
Guest 5: Review the Hotel staff's final arrangement of centerpieces
Guest 6: Piano
Guest 7: Greeter/Downstairs rabble rouser

If there are any last minute approvals, let Guest 2 or Guest 3 know - we're going to let the hotel Wedding Coordinator know that they have approval authority.

Of course we don't want you folks to miss the fun, either. So we're hoping that none of the above will be difficult, and will probably even add to the fun. Let us know if you have additional suggestions or ideas.

 

Email 8 Last Email before Leaving for the Wedding to those who may not attend

Yep, this is it!

This is the last email you'll be getting from us as a single guy (Groom's name) and a single girl (Bride's name). (Just to be absolutely clear)

If by some chance you can make it out to New Orleans for the Big Easy Wedding on a last minute airfare, here's some last minute notes:

* Be sure and print a copy of the website itinerary (www.familyXYZ.com/Wedding/itinerary.htm). That can help you hook up with us during the week.

* Jetpack Flight Rentals: We will be renting a pair of Future Horizons Jetpacks with the Rotax 503 engine (http://www.futurehorizons.net/jetpacks.htm) for our grand entrance from the Hotel Sonesta balcony. If you are Jetpack certified, and would like to borrow these for a spin around the city, contact us at Thursday Night's Bachelor/Bachelorette party. Please note that the Bride's pack will be built into her garment, so if you borrow that one you'll be flying around 'Orleans in a wedding dress.

* Remember to bring your talents and any musical instruments and props for the Big Easy Wedding Home Brewed Talent Show and Open Mike Reception.

* Any last minute questions please direct to *name* (310-555-1212).

* Don't forget a chair, shady hat or umbrella and sunscreen for Jazz Fest.

* Have a fun safe journey and (maybe?) we'll see you in New Orleans!

 

Email 9 Thank you for making the journey email upon return from Honeymoon

First, we'd like to say thank you, thank you, thank you all for joining us in New Orleans for a super fun wedding!

We hade a great time, and it was not possible without you.

The Monday after the wedding, we left for our honeymoon where we goofed off for a week in the beautiful sunny weather. We hung out at the beach, scuba dove, snorkeled, and other fun stuff ;))

Now we're back, have mailed most of the thank you cards, and are returning to some semblance of a normal life. We've posted your photos on the web site (www.familyXYZ.com/Wedding), along with downloadable "zip" files of CD's for those of you that want to look at the entire collection.

Some of you have already sent us electronic and/or hard copies of your wedding pix. If you haven't, please send us you're favorites and we'll post them to the web site as well.  And if you have videos, let us know. We'll arrange to have your tapes copied (even FedEx them both ways) and we'll make a video for everyone with all of the highlights from the weekend.
